Privacy Policy

Under the General Data Protection Regulations (GDPR) I am required by law to inform you about how I process and keep safe any personal data I hold for you. I take confidentiality and privacy very seriously and am bound by the code of ethics of UKCP and BCPC.

I keep certain data so that I can work safely and professionally with you, in line with the guidelines of UKCP.

HOW I GATHER YOUR PERSONAL INFORMATION

  • If you contact me by email or phone records of the correspondence may be kept
  • Brief session notes
  • Payment information and invoices if applicable
  • I may also keep information such as your emergency contact’s name and telephone number, your GP name and number, and relevant medical information 
  • Regarding online therapy, I use the platform Zoom, which is securely encrypted 

 

WHERE I STORE YOUR PERSONAL DATA

  • Personal data that I collect from you via email or phone will be kept securely. My computer and phone are password protected and not used by anyone else.
  • Your contact details are stored on a computer and password protected.
  • The brief session notes are anonymised and stored in a paper form in a locked filing cabinet. Clients’ names and contact details are kept separately from the anonymised brief session notes.
  • I take all steps reasonably necessary to ensure that your data is treated securely and in accordance with this privacy policy.

 

USES MADE OF THE INFORMATION

  • I use your contact details to allow me to provide you with information of the service that you request from me; to allow you to tell me about changes in your availability, if you choose to do so, and to notify you about changes to my availability.
  • I do not keep detailed session notes. I use brief session notes to remind me of important points I want to be sure to remember to keep in mind for our next session, and/or in supervision.

 

HOW LONG I KEEP DATA FOR

  • I will retain your contact details and brief sessions notes for as long as we are working together. I will retain your session notes for a further five years.

 

YOUR RIGHTS

  • You are entitled to view, amend, or delete the personal information that I hold. All requests have a month to be carried out.

 

IN THE EVENT OF A DATA BREACH

  • I have a legal obligation to report a data breach to you and the Information Commissioners Office (ICO) within 72 hours.

 

DISCLOSURE OF YOUR PERSONAL INFORMATION

  • In the event of my incapacity or death your personal contact information will be disclosed to my clinical executor of my Professional Will so that they can notify you. They only hold your first name and a contact number.
  • In an unlikely event I may be under a duty to disclose or share your personal data in order to comply with any legal obligation. For example, if I am subpoenaed to court, or as a legal requirement such as safeguarding children or vulnerable adults, terrorism or money laundering.

 

CHANGES TO THIS PRIVACY POLICY

  • I will notify you of changes I may make to this Privacy Notice in the future.
